PROJECT OVERVIEW
Client’s expansion demanded a state-of-the-art AV infrastructure to cater to the diverse needs of its growing workforce. We were entrusted with implementing a cutting-edge AV solution to enhance collaboration, communication, and innovation within the expanded workspace.
The project encompassed 18 distinct areas with unique AV requirements. 4k displays, advanced audio systems, and VC capabilities were integrated into meeting rooms to facilitate seamless collaboration and dynamic brainstorming. Collaboration spaces were equipped with flexible AV configurations to support various group sizes and activities. Individual AV setups in swing cabins catered to private meetings and focused work.
Recreation and town hall areas were outfitted with large displays, high-brightness DLP laser projectors, and powerful sound systems for immersive company events and presentations. The gymnasium and games area were equipped with integrated audio systems for background music and announcements, while the multipurpose dance room received specialized AV equipment for dance classes and performances.
The AV infrastructure was meticulously designed to be scalable and adaptable, ensuring the client could easily modify and upgrade the system to meet their evolving needs.

Standardize Video Conferencing: Implement Zoom-based video conferencing as the primary communication tool in all meeting rooms, effectively transforming them into dedicated VC suites to ensure seamless communication and collaboration with teams and stakeholders worldwide.
Maximize Space Utilization: Repurpose common areas like the café and training rooms into versatile all-hands meeting spaces equipped with comprehensive AV solutions to accommodate large gatherings, presentations, and company-wide announcements.
Enhance Internal Communication: Integrate digital signage solutions strategically across the floors to provide real-time updates and relevant information, keeping employees informed and engaged.
By achieving these goals, the client aimed to create a modern and technologically sophisticated workspace that reflected their global brand identity and fostered a collaborative and innovative work environment for their employees.
SCOPE OF WORK YOUR COMPANY WAS INVOLVED IN
1. Review and understand the consultant’s design documents and specifications. Develop a detailed project plan outlining timelines, milestones, and resource allocation. Coordinate with other stakeholders involved in the project to ensure seamless integration of AV systems with other building systems.
2. Procure all AV equipment, ensuring compatibility with the design and budget. Install and configure all AV equipment according to the consultant’s specifications.
3. Integrate all AV components into a functional system. Configure and test all systems to ensure they meet or exceed performance expectations. Troubleshoot and resolve any technical issues that arise during installation or testing.
4. Conduct a comprehensive commissioning process to verify that the entire AV system functions as designed. Provide detailed documentation, including as-built drawings, user manuals, and maintenance guidelines. Deliver a fully functional and operational AV system to the client and comprehensive training for end-users.
5. Offer post-installation support services, including troubleshooting, maintenance, and repairs as needed. Provide ongoing training and support to ensure the client can effectively utilize and manage the AV system.
WHAT KEY CHALLENGES WERE FACED?
The project encountered several key challenges due to its complexity and high value. Multiple international shipments caused delays, exacerbated by changing client requirements and extended lead times for specialized equipment. Unexpected during bidding, the bifurcation of purchase orders for SEZ and non-SEZ zones led to cost adjustments and further delays in procurement.
These factors significantly compressed the project timeline, putting immense pressure on the team to meet the unchanged go-live date. The tight schedule made effective communication and coordination critical. Ensuring real-time information flow among diverse teams, including sales, engineers, project managers, and technicians, proved challenging. Additionally, coordinating with external stakeholders and vendors added another layer of complexity.
The key takeaway was the paramount importance of clear and timely communication in complex AV projects. A robust system for information dissemination is crucial to prevent errors and keep all team members aligned, especially when faced with tight deadlines and unforeseen circumstances.
HOW WERE THOSE CHALLENGES RESOLVED?

To mitigate delays caused by international shipments and changing client requirements, the team proactively identified critical path items and expedited their procurement. Open communication channels with the client ensured everyone was informed of any modifications and their impact on the timeline.
The unforeseen PO bifurcation issue required swift adaptation. The team worked closely with the client to navigate internal approvals and expedite the process.
To overcome the compressed timeline, we placed advanced POs to the OEMs, resources were reallocated, and work hours were adjusted to accelerate installation and testing. A dedicated communication channel was established to streamline information flow among team members and external stakeholders, ensuring everyone was informed and aligned.
