PROJECT OVERVIEW

1. Design, develop, and deploy state-of-the-art video collaboration room solutions for local meetings, presentations, video meetings, local training, and video training in the rooms of the IOCL Marketing Head Office.

2. Supply, Installation, Configuration, Commissioning, integration, Testing and Maintenance of complete hardware, including all necessary software licenses per the BoQ and Technical specifications (Annexure-V) for IOCL Marketing Head Office, Mumbai.


WHAT DID THE CLIENT WANT TO ACHIEVE?

The customer sought a complete transformation of their current boardrooms and meeting rooms, aiming to upgrade with cutting-edge AV equipment, interior design, acoustics, electrical systems, and lighting. The existing rooms faced significant challenges in appearance, functionality, and environmental control. To resolve these issues, they enlisted Cosmos Business Machines to develop detailed design documents, including renders, drawings, schematics, a Bill of Quantities (BOQ), and a presentation for their senior management.

WHAT KEY CHALLENGES WERE FACED?

1. As the IOCL office was operational during the day, all work had to be conducted during night shifts.

2. There were no drawings and CAD files for the old meeting rooms.

3. Multiple levels of approval of interior render options.

4. The ceiling height was insufficient to accommodate Active LED screens, cassette ACs, ducting, and conduiting.

5. Strict deadlines were set to ensure the rooms were ready for inauguration on the scheduled date.


HOW WERE THOSE CHALLENGES RESOLVED?

1. Since the IOCL office operated during the day, all work was carried out during night shifts, and thorough cleaning was performed early every morning.

2. Due to the lack of drawings and CAD files for the meeting rooms, we started from scratch by measuring the entire space and preparing AutoCAD and shop drawings and RCP and floor plans.

3. Multiple interior render options were presented and extensively reviewed by IOCL’s senior management before final approval. Samples of every material used for the interior construction were also provided for customer approval during various stages of the project.

4. The ceiling height was inadequate to accommodate Active LED screens, cassette ACs, ducting, and conduiting, necessitating additional civil work after the false ceiling was removed.

5. Strict deadlines were imposed to ensure the rooms were ready for inauguration on the scheduled date, necessitating the allocation of extra manpower and resources for overnight work.


HOW HAS YOUR WORK HELPED THE CLIENT?

1. Overall productivity at IOCL marketing’s headquarters has significantly improved since the ambience and meeting experience are now exceptional. There are no interruptions during videoconferencing and presentations, which means that meetings take less time and decisions are made faster.

2. Visitors to the IOCL office are amazed at the transformation of the meeting rooms, which has a positive impact on IOCL’s engagement with its internal and external stakeholders.

3. The Lighting and cooling solutions implemented use state-of-the-art technology, which significantly reduces the office’s electricity and running costs.

4. The automation implemented in each of the rooms has made them user-friendly, requiring minimum intervention by resident AV technicians.


WHAT ARE YOU MOST PROUD OF ABOUT THE PROJECT?

This is the first hybrid project executed by Cosmos Business Machines in which we have implemented state-of-the-art AV along with interior acoustics, lighting and electrical. This project has now become a benchmark in PSU oil industries in India. After the implementation of this project, IOCL is considering Cosmos Business Machines for similar work at their offices in other locations in Mumbai and other cities in India. Additionally, other PSU oil company delegates who have visited these rooms have recommended that they implement similar projects in their own office locations. Thanks to this, Cosmos Business Machines has been getting regular enquiries for similar projects from various cities in India.
