Project Overview
This project involved the design and execution of a fully integrated conference room of the ASI. The objective was to deliver an AV and conferencing solution tailored for high-level government meetings. To maintain a clean and professional setup, 15.6-inch motorised monitor lifts were installed for a clutter-free workspace. Flush-mounted Chairman and Delegate microphones ensured effective voice capture while preserving table aesthetics. The audio system was driven by a centralised setup with Dante integration, supported by advanced control software for seamless communication and user-friendly operation. Wireless audio was enabled through handheld microphones and Dante-based antennas. At the same time, a high-performance DSP and multi-channel amplifiers powered JBL FOH and ceiling speakers for clear, evenly distributed sound. Video integration included an HDMI Matrix Switcher, high-speed transmitters and receivers, and PTZ cameras for superior video quality. System control was managed via a central processor and an intuitive iPad-based touch interface. Stable network connectivity was ensured through PoE switches and dual-band routers. High-quality cabling, USB extenders, and adapters were used to support all system components, with equipment securely housed in a structured rack.
What did the client want to achieve?
The Archaeological Survey of India (ASI) aimed to create a modern, fully functional conference room that could support high-level meetings, virtual interactions, and official presentations with ease and reliability. The primary goal was to upgrade their existing infrastructure with an integrated AV solution that ensured clear communication, intuitive control, and minimal visual clutter—while aligning with the dignified aesthetic of a government institution.
They required seamless audio and video capabilities for both in-person and hybrid meetings, with high-quality sound distribution, efficient microphone management, and camera coverage for all participants. The client also emphasised the need for a user-friendly interface that would allow internal teams to manage AV, lighting, and connectivity without technical assistance.
In addition, ASI wanted the setup to be future-ready—scalable, secure, and capable of adapting to evolving conferencing standards. Overall, the objective was to transform the space into a reliable, professional-grade communication hub that reflected the organisation’s stature and supported its operational efficiency.

We were responsible for the complete SITC of a fully integrated audio-visual conferencing system at ASI. Our scope began with understanding the technical and functional requirements, followed by designing a modern AV solution that blends high performance. This included the integration of motorised monitor lifts, flush-mounted Chairman and Delegate mics, and a centralised audio system with Dante-enabled controller and Confero Advanced software. We deployed wireless microphones with Dante-based antenna systems, configured the DSP and amplifier system, and installed FOH and ceiling speakers to ensure clear and evenly distributed sound. The video system included an HDMI matrix switcher, 4K transmitters/receivers, and PTZ cameras, all integrated through a central control processor and managed via a touch panel. Our team handled all network infrastructure using network switches and dual-band routers. All AV equipment was mounted and secured in a professional-grade rack. The completed system offers seamless control, hybrid meeting capability, and high intelligibility, delivering a user-friendly and future-ready environment that supports ASI’s mission-critical communications.
What Key Challenges were faced?
One of the primary challenges encountered during the execution of the AV conferencing system at ASI was the inadequacy of the room’s acoustic treatment. The lack of proper acoustic work in the space led to issues such as echo, reverberation, and uneven sound distribution, particularly during voice pickup and speaker output. This limited the full potential of the audio system and required real-time DSP tuning and microphone gain adjustments to maintain intelligibility. Additionally, integrating multiple advanced components within a compact space demanded precise coordination to avoid signal interference and clutter. Ensuring interoperability between various AV brands and protocols while maintaining aesthetic standards added to the complexity. The structured cabling also posed a challenge due to limited ducting and cable routing options, requiring customised on-site adjustments without compromising signal quality or serviceability. Despite these hurdles, our team ensured seamless system performance through careful design revisions, real-time system calibration, and proactive problem-solving, delivering a reliable and intuitive user experience.
How were those challenges resolved?
The acoustic was resolved by using Dante-enabled microphones, which offered superior signal clarity and reduced latency. The precision of Dante networking also allowed for more accurate DSP tuning, helping eliminate echo and feedback effectively. Through careful planning, precise equipment selection, and expert configuration, all challenges were successfully mitigated, resulting in a reliable, high-performance AV system tailored to ASI’s requirements.

Our work significantly enhanced the client’s conferencing experience by delivering a robust, future-ready AV infrastructure tailored to their needs. The integration of Dante-enabled microphones and audio processors effectively resolved previous echo and acoustic issues, ensuring crystal-clear voice transmission across meetings. The deployment of motorised monitor lifts and flush-mounted microphones preserved the room’s clean visual appeal while offering advanced functionality. Our selection of high-quality JBL speakers and DSP configuration ensured even audio distribution with minimal distortion. The use of 4K HDMI systems, Canon PTZ cameras, and a central control interface via iPad touch panel enabled seamless hybrid meeting experiences, making both in-room and remote communication efficient and intuitive. The centralised control system simplified complex operations into a single interface, reducing the learning curve for users. The entire AV ecosystem was designed with reliability, scalability, and user-friendliness in mind, directly supporting ASI’s mission of high-level communication and coordination.

We are most proud of delivering a highly functional, acoustically optimised, and visually seamless conference environment that meets the client’s high standards for both performance and aesthetics. By integrating advanced AV technology—such as the Plixus AE-R Audio Engine with discreet LPM microphones—and resolving acoustic and ambient noise challenges, we ensured crystal-clear communication essential for high-level discussions. The intuitive centralised control system further enhanced user experience, enabling effortless transitions between virtual and in-person meetings. Achieving this level of integration and usability in a government setting is a testament to our team’s design-build expertise.
