The BITS – Pilani, Mumbai Campus is a modern, state-of-the-art residential educational complex located in Pawshepada, Kamba, Kalyan, District Thane, Maharashtra. A key feature of the ongoing development is Academic Block 02, for which the project encompasses the supply, installation, testing, and commissioning of an advanced Audio-Visual (AV) system. The AV works include equipping smart classrooms, seminar halls, and lecture theatres with modern interactive displays, high-quality sound reinforcement, video conferencing facilities, and integrated control systems. These installations aim to foster interactive learning, support hybrid education models, and provide seamless connectivity across campus. The AV infrastructure is designed to enhance both in-person and remote teaching experiences, keeping in line with global standards.


What did the client want to achieve?

The client, BITS–Pilani, Mumbai Campus, aimed to create a world-class residential educational environment, emphasising academic excellence and advanced living facilities. Their goals included building a state-of-the-art campus designed to foster innovation, interactive learning, and holistic student development. For Academic Block 02, the focus was on implementing advanced AV technology, including interactive displays, sound reinforcement, and video conferencing systems, supporting hybrid and in-person learning models to meet and exceed global educational standards.

The client also planned a comprehensive residential campus with hostels and supporting ancillary services, providing residents with a safe, functional, and comfortable living environment. The overall development was divided into distinct phases, optimising quality, resource management, and ensuring timely project completion within budget. By partnering with expert architects, specialised consultants, and project management professionals, the client sought to achieve the highest standards in design, technology integration, and execution across the entire campus, reflecting a commitment to excellence and future-readiness.


Scope of work your company was involved in

We were the AV integrator for BITS–Pilani, Mumbai Campus, delivering end-to-end audio-visual solutions. We collaborated with architects and interior consultants to analyse requirements, design, and engineer customised AV systems for classrooms, lecture theatres, and seminar halls. We supplied advanced AV hardware—interactive displays, projectors, video conferencing systems, speakers, microphones, amplifiers, and control equipment—from leading manufacturers.

On-site, we managed complete installation and configuration, ensuring optimal system layout and seamless integration for unified operation. Our team developed automation and programmed central control interfaces for effortless user operation. Rigorous testing, commissioning, and user acceptance trials guaranteed reliable performance and high quality.

We conducted thorough user training and provided documentation to empower faculty and staff in system use and troubleshooting. Our support extended post-installation with maintenance services to ensure continued reliability. Leveraging InfoComm-certified practices and an expert team, Cosmos Business Machines delivered a robust, future-ready AV infrastructure that supports BITS–Pilani’s vision for a technologically advanced academic environment.


What Key Challenges were faced?

The AV integration at BITS – Pilani presented significant challenges. The site was raw and undeveloped, requiring extensive coordination with civil and electrical teams to prepare installation areas, which complicated logistics and scheduling. The project timeline was extremely tight, requiring rapid progress with no allowance for delays, in line with the overall campus development plan.

To meet deadlines, Cosmos Business Machines deployed a skilled team of 15 engineers, 2 programmers and a project manager working day and night in shifts, ensuring continuous installation, configuration, and testing. The complexity of integrating advanced AV technologies required meticulous system synchronisation and programming, which was challenging under time constraints.

Additionally, managing coordination among architects, interior consultants, project management, and various contractors was critical. Strong communication and flexibility were essential to overcome on-site issues and dependencies.

Despite these hurdles, robust planning, dedicated manpower, and persistent effort enabled Cosmos Business Machines to deliver a state-of-the-art AV infrastructure on time, supporting the BITS campus’s vision of a technologically advanced learning environment.

We coordinated with civil and electrical teams to prepare the raw site and streamline logistics, ensuring smooth deliveries and workflows despite challenges.

To meet the tight timeline, 15 skilled engineers worked continuously in shifts, maintaining steady progress in installation, integration, and commissioning without sacrificing quality.

The complex AV integration was managed through detailed planning, standardised procedures, and in-depth testing. The team used synchronisation and remote diagnostics to reduce errors and rework.

Regular meetings among architects, consultants, project managers, and the AV team ensured prompt challenge resolution and smooth collaboration, keeping aligned with the project schedule.

Through meticulous planning and close coordination with architects, consultants, project managers, and contractors, we ensured smooth workflows and timely issue resolution.
