BUDGET: 11 crore INR and above (USD1.48 million and above)
PROJECT OVERVIEW
Providence is one of the largest healthcare and hospital groups based in the USA. Around 2020-21, they established a Global Capability Center (GCC) in India with 300 employees. Over the past three years, the workforce has grown to over 2,500 and is projected to exceed 4,000 by 2026. Providence has committed to a new facility of approximately 500,000 square feet in Hyderabad to accommodate this rapid expansion. Providence has a well-established AV team and has formed strategic partnerships with Microsoft (for Teams) and Poly (for peripherals). They have engaged M/s 3CDN Workplace Tech Private Limited as the principal AV consultant to support the scaling of their solutions and modernise event spaces like the Town Hall Area and Multipurpose Rooms. Through a competitive bidding process, M/s AVILS was selected as the Master Audio Visual Systems Integrator (MAVSI).
WHAT DID THE CLIENT WANT TO ACHIEVE?
UCC, or collaboration, is central to the client’s workflow, with the India team working closely alongside the US team. To facilitate this, every room is designed to support a native Microsoft Teams Room (MTR) experience. The project’s guiding principle was “Hybrid by design, rather than by circumstance.” This approach extends beyond meeting rooms to include training rooms and other custom spaces optimized for a native Microsoft Teams environment. Level 19 focuses on Learning & Development (L&D), featuring a bank of five training rooms. This floor also includes a dedicated All Hands/Town Hall space to accommodate both internal and external events. The client aimed to meet spaces with high turnaround and one-touch system capabilities. The All Hands spaces are managed with skilled staff, ensuring seamless event delivery.
SCOPE OF WORK YOUR COMPANY WAS INVOLVED IN
AVILS served as the Master Audio Visual Systems Integrator (MAVSI), while 3CDN Workplace Tech Pvt Ltd acted as the principal AV consultant.
The design team’s role was to align the client’s standards for meeting rooms with the project layout, ensuring contextual relevance. They also focused on developing custom spaces from the ground up and supporting various events. Meanwhile, AVILS’ scope encompassed the supply, installation, testing, and commissioning of the audiovisual systems.
WHAT KEY CHALLENGES WERE FACED?
The project faced two major challenges. First, defining the event spaces required extensive deliberation to determine use cases and operational modes, considering the variety of events the space might host. Since this was Providence’s first event space of this scale globally, input came not only from the client’s AV/IT team but also from the business side, providing 3CDN with ample data to tailor the solution effectively.
The second challenge was the rapid turnaround required for construction. The fit-out was scheduled to be completed in 120 days, necessitating close coordination among multiple teams on-site and with suppliers to ensure that material availability did not impede progress.
HOW WERE THOSE CHALLENGES RESOLVED?
The project faced two main challenges: determining the right solution for the event spaces and achieving a quick turnaround for project delivery.
Our team played a crucial role in addressing the first challenge by helping 3CDN collaborate with various stakeholders within Providence to gather accurate input about the event spaces. The focus was optimizing employee experience, ensuring that every discussion about use cases and solution architecture aimed to achieve a perfect 10/10 rating for employee satisfaction.
AVILS, with our extensive experience as an AVSI and a proven track record in handling large and complex projects, was instrumental in overcoming the second challenge. Our skilled team lead, and the deployment of multiple on-site teams ensured that the project was completed on time with no disruptions.
HOW HAS YOUR WORK HELPED THE CLIENT?
UCC and conferencing are central to the client’s operations, facilitating close collaboration between Providence’s India and USA offices. Effective AV systems are crucial for this coordination. Through meticulous planning, partnering with a leading AV consultant, and deploying experienced professionals on-site, we have delivered a seamless experience for Providence and its employees. AVILS continues to support and manage the operations to ensure minimal downtime and comprehensive support for every event.
WHAT ARE YOU MOST PROUD OF ABOUT THE PROJECT?
Since the pandemic, the AV industry has gained a significant role in office design. This project has demonstrated how AV and UCC systems are integral to supporting customers’ daily operations and highlighted the crucial impact of our support on their workflow.
