Project Overview
Informa commissioned Symity and SI to deliver a full-floor audio-visual and unified communications environment at their R-Square office in Chakala, Mumbai. The project covered more than 25 spaces, including meeting rooms, flexi rooms, divisible training and boardrooms, a townhall area, reception zones and technical spaces, aligning the Mumbai office with the organisation’s Global workplace standards.
The objective was to create a consistent Microsoft Teams Rooms experience across all rooms. Colleagues benefit from a unified interface, predictable workflows and reliable performance for hybrid meetings, training sessions, leadership discussions and townhall events.
The deployment required coordinated AV infrastructure planning, rack and cable management and integration with architectural and MEP elements. Divisible spaces featured automated combine/split functionality, with design validation conducted in collaboration with Symity’s Global consultant team.
The result is a scalable, standardised collaboration ecosystem that enhances user adoption, simplifies IT management and ensures long-term operational reliability across the workplace.
What did the client want to achieve?
Informa aimed to create a standardized, future-ready workplace aligned with its Global AV and Unified Communications standards while delivering a seamless hybrid collaboration experience across its Mumbai office. The project covered more than 25 meeting, training, collaboration and event spaces, each requiring a consistent Microsoft Teams Rooms experience regardless of room size or function.
A key objective was to simplify the user experience through a familiar interface, standardized workflows, and reliable meeting performance across every space. The client also required divisible training rooms and boardrooms that could automatically transition between independent and combined configurations without manual intervention.
Beyond the user experience, Informa sought a scalable, easy-to-manage AV infrastructure compliant with global workplace technology standards established by its international consultant, Symity. The solution integrated with the building’s architectural and MEP infrastructure while ensuring long-term reliability, simplified maintenance, and a standardized collaboration platform to support future expansion and evolving hybrid workplace requirements.\

SI was responsible for designing, integrating, installing, programming, and commissioning a standardized AV and Unified Communications solution across Informa’s Mumbai office. Working with Symity, Allwave implemented the client’s global AV standards across more than 25 collaboration spaces, including meeting rooms, boardrooms, divisible training rooms, flexi rooms, reception areas, townhall spaces and technical rooms.
The solution was built on a Microsoft Teams Rooms architecture, delivering native Teams integration and a consistent collaboration experience throughout the workplace. Automated room combine/split functionality enabled cameras, microphones, displays, speakers and control systems to adapt automatically based on room configuration.
The scope included AV infrastructure planning, rack integration, structured cabling, display mounting, DSP configuration, camera commissioning, microphone optimization, and end-to-end system testing. Coordination with architectural, MEP and global consultant teams ensured compliance with technical specifications and workplace design requirements. Comprehensive commissioning and user acceptance testing validated system performance before project handover.
What key challenges were faced?
Delivering a standardized Microsoft Teams Rooms environment across more than 25 collaboration spaces presented several technical and integration challenges. While each room served a different purpose, every space had to deliver a consistent user experience and comply with Informa’s global AV standards.
One of the most complex aspects was engineering the divisible training rooms and boardrooms. The AV system had to transition automatically between combined and divided room modes by synchronizing displays, cameras, microphones, DSP processing, audio routing and control systems. Achieving seamless operation without manual intervention required precise programming, automation logic, and system integration.
Another challenge involved integrating Yealink Microsoft Teams Rooms solutions, Q-SYS DSP, Shure ceiling array microphones, Sony professional displays, and networked audio systems into a single interoperable AV platform. Reliable communication between these technologies required careful configuration, testing, and validation.
The deployment also demanded close coordination with architectural and MEP teams for display wall reinforcement, rack placement, cable containment and power infrastructure to ensure a clean, serviceable, and standards-compliant installation.
How were those challenges resolved?
To maintain consistency across more than 25 collaboration spaces, Allwave engineered the solution around a standardized Microsoft Teams Rooms architecture, ensuring every room delivered the same intuitive user experience while meeting Informa’s global workplace standards.
Working alongside Symity’s global consultant team, detailed design reviews and technical validations ensured alignment between the approved design and on-site execution. The divisible training rooms and boardrooms were programmed with intelligent combine/split automation. Custom control logic synchronized cameras, displays, microphones, DSP processing, speaker routing, and room controls, enabling spaces to adapt automatically whenever partitions were opened or closed without manual intervention.
To enhance long-term reliability, the infrastructure incorporated reinforced display mounting, structured cable containment, standardized equipment racks, and optimized service access. Comprehensive commissioning, audio tuning, camera optimisation, Teams Rooms validation and end-to-end testing ensured reliable performance before project handover.
