Essential requirements included crystal-clear audio intelligibility and optimized hall acoustics to minimize echo during multi-delegate discussions, versatile visual display solutions across spaces, seamless connectivity for participants, and a robust, reliable network backbone capable of supporting mission-critical government operations without downtime or signal loss.

Key priorities included optimizing room acoustics and audio clarity for clear communication, deploying high-impact visual displays, ensuring flexible tabletop connectivity, and establishing a zero-downtime network backbone built for mission-critical government operations.

We served as the lead AV System Integrator, executing end-to-end delivery—including system design, equipment supply, installation, testing, and commissioning across the 5th and 6th floors.
Scope Breakdown:
Acoustics & Audio Systems: Strategic wall acoustic treatment, digital Chairman & Delegate conference units with conference controller, DSP processors with Acoustic Echo Cancellation (AEC), high-performance column speakers, and wireless mics.
Visual & Presentation Systems: High-brightness laser projection with motorized screens and large-format LED displays on side walls.
Video Conferencing: Integrated PTZ cameras and dedicated hardware VC codecs for seamless hybrid meetings.
Signal Routing & Infrastructure: HDMI matrix switchers, table cable cubbies with custom pass-throughs, enterprise PoE switches, and high-speed Wi-Fi access points.
What key challenges were faced?
The project presented four main technical and logistical challenges. First, severe room reverberation caused by hard reflective surfaces like glass and drywall created unwanted acoustic echo and potential feedback during multi-party hybrid meetings. Second, managing complex multi-signal cable routing across video conferencing, projection systems, and LED displays without cluttering executive conference tables required careful design. Third, executing the deployment within an active, high-security government building required strict operational compliance with zero disruption to daily workflows. Finally, meeting a tight project timeline to align with official government inauguration schedules demanded flawless coordination.
How were those challenges resolved?
To address the acoustic reverberation, we installed custom wall-mounted acoustic panelling paired with advanced DSP processors utilising Acoustic Echo Cancellation (AEC) and optimised speaker placement to eliminate echo and feedback. For cable and signal management, we integrated centralized HDMI matrix switchers and table cable cubbies with custom HDMI/USB-C pass-throughs, keeping executive tables completely clutter-free while offering versatile connectivity. To overcome operational constraints and the tight deadline, our team executed cabling, structural installation, and acoustic paneling during off-peak hours and weekends, coordinating closely with facility management to meet the inauguration schedule with zero disruption. Finally, a dedicated high-bandwidth network backbone with enterprise PoE switches was built to guarantee uninterrupted video conferencing performance.

We successfully transformed the SGST Office into a state-of-the-art administrative center. By combining custom acoustic treatment with advanced digital conference system, we completely eliminated background echo, enabling clear communication during critical government deliberations. The addition of intuitive tabletop connectivity and seamless video conferencing allows officials to initiate hybrid meetings instantly without technical delays. Ultimately, this integration has boosted operational efficiency, streamlined decision-making, and provided the client with a secure, future-proof environment that sets a modern benchmark for public sector facilities in the region.
What are you most proud of about the project?
We take tremendous pride in successfully executing a comprehensive, end-to-end transformation within a high-security government facility under strict timeline constraints. Converting acoustically difficult rooms into an intuitive, world-class AV environment—without disrupting active government operations—was a major accomplishment. Delivering a complex blend of customized acoustics, digital conference systems, and seamless matrix routing into a simple, reliable solution that government leadership uses effortlessly every day is Surabhi Enterprises’ greatest achievement on this project.
