PROJECT OVERVIEW

The Securities and Exchange Board of India is one of India’s most influential financial institutions, with its headquarters located in Mumbai. As a regulator of India’s securities markets, it plays an important role in the formation of policies and in protecting the interests of investors.

SEBI wanted to upgrade their boardroom as a venue for important meetings which can include interactions with government institutions, other market regulators, leading financial institutions and with the press. A key objective was to improve the audio and video clarity during meetings, especially when video conferencing was in use. They wanted to bring the latest in display, audio and video collaboration tools so meetings could be more effective and technology was simple for anyone (including guests) to use.


What did the client want to achieve?

The organisation had multiple objectives with the boardroom upgrades — improved audio and visual clarity, increased ease of use and a better impression on visitors with the technology made available.

The boardroom which seats about 42 people also has additional seating for support staff who can provide support in case this is required. Since meetings of different types may need to be hosted, there is a lectern with controls to allow speakers to address the seated participants in the room.

The room was also expected to allow presenters to use any type of content — slides on PC, videos, a laptop or documents.


Scope of work your company was involved in

We were was tasked with the installation and integration of a variety of solutions to improve the quality of display, AV controls, lighting controls and various other presentation tools. Our team carefully blended several technologies and tools to make the room more effective during meetings and also easier to use with AV and lighting control technologies. These tools have been tied together with a control system that allows either the presenter or support staff located at the operator desk to monitor and assist when required. A wireless presentation system, document camera and meeting recording system have also been added for more convenience and flexibility during meetings in the boardroom.


What key challenges were faced?

One of the key challenges was ensuring good visibility of content in all parts of the board room, so that members seated away from the table also had good visibility. High-visibility and audibility is especially important during video conferences when far-side participants need to be able to hear and see everyone in the boardroom clearly at all times.


How were those challenges resolved?

Visibility of content has been carefully addressed with multiple strategically placed displays. In addition to the video wall, a number of secondary displays installed along the side walls of the boardroom bring visibility to every participant.

A network audio system ensures that each person is audible with clarity too, and desktop microphones ensure excellent audibility at all times. Multiple cameras have been deployed to ensure that coverage during video conferences is similarly excellent.


How has your work helped the client?

The outcome for the client has been a very effective boardroom which clearly makes an impression with best of its kind 144″ video wall display. The state-of-the-art video and audio system are supported with several other tools that make the technology easy to use — via an iPad controller.

Official meetings can be recorded with minimal effort, and there is great flexibility provided for the presenter’s comfort and to accommodate various meeting scenarios.


What are you most proud of in relation to the project?

The stature of SEBI makes it one of the most important and influential institutions in the country. We are very happy that we were able to provide solutions that increase the effectiveness of the meetings conducted there and being able to exceeded the expectations that were defined by the organisation for a much improved meeting experience.
