Project Overview
Mazagaon Dock Shipbuilders Limited, a Government of India defence shipbuilding enterprise under the Ministry of Defence, engaged SI to design and deliver a fully integrated audio-visual and video conferencing solution for its boardroom at the Nhava Yard facility, Ulwe, Navi Mumbai. The project involved constructing an acoustically treated boardroom with wall and ceiling treatments, finishes, laminated wooden flooring, soundproof doors, and integrated AV infrastructure including AV and IT equipment conferencing systems, Crestron automation, tunable lighting, and dedicated high laptops. Executed over 3 months within a high-security defence establishment, the project required meticulous planning, specialised government approvals, and strict compliance with security protocols. The execution team operated under a no-mobile-phone and no-laptop policy, while all materials underwent controlled induction procedures. To meet the compressed schedule, the team commuted daily between EYTE’s Ghatkopar office and the Ulwe site. Despite significant logistical and security challenges, EYTE successfully delivered a secure, high-performance board meeting room that met the client’s operational, technical, and confidentiality requirements.
What did the client want to achieve?
MDL wanted a modern, fully equipped boardroom at its Nhava Yard facility capable of supporting secure video conferencing and high-level meetings, without compromising the confidentiality mandated by its defence-sector operations. The objective was a space combining professional acoustic performance, comfortable ambience, and reliable audio-visual technology enabling clear, uninterrupted virtual and in-person communication for senior stakeholders.
Because the facility handles highly sensitive government and defence information, the client also required that the execution process itself uphold strict security protocols, with no compromise on confidentiality during construction and installation. Given operational urgency, MDL also needed the project completed within a compressed timeframe, making efficient planning and consistent on-ground execution, including work across weekends, essential to delivering the outcome without disrupting the facility’s ongoing operations.
Scope of work your company was involved in
SI scope covered complete design and execution of the boardroom’s interiors, acoustics, lighting, and AV/IT systems. Interior work included four-side wall panelling and ceiling treatment using stud framing, fibre cement board, Rockwool acoustic insulation etc.
On the audio-visual side, SI supplied and integrated Samsung 85″ and 55″ 4K displays, PeopleLink PTZ cameras and audio conferencing systems, an Inogeni camera switcher, Atlona and Milestone HDMI/USB-C switching and extension systems, and a wireless presentation system. The control and automation layer was built around a Crestron processor, touch controller, occupancy sensor, keypad, and lighting dimmer, integrated with tunable ambient LED lighting for a professional meeting environment. The team also supplied high-end laptops, network switches, structured cabling, connectors, and an equipment rack. Furniture included ergonomic revolving chairs and a custom modular conference table seating 20 persons. SI managed the entire execution lifecycle, design, procurement, on-site installation, testing, and commissioning, while operating within the client’s stringent security protocols throughout the defence-establishment premises.
What key challenges were faced?
The project’s location within a high-security defence shipbuilding facility presented the most significant challenges. Confidential-area protocols meant the entire execution team had to work without mobile phones or laptops inside the premises, complicating coordination, documentation, and real-time technical reference throughout installation. Every piece of material and equipment required security clearance before being brought on-site, making logistics and material induction time-consuming and unpredictable.
The project also had to be completed within a compressed 6–8 month timeline that included obtaining special government permissions and mandatory weekend working to stay on schedule. Additionally, the Nhava Yard site in Ulwe, Navi Mumbai, was geographically distant from EYTE’s Ghatkopar head office in Mumbai, requiring the team to commute daily to and from the site, adding travel time and logistical strain to an already demanding schedule. Managing vehicle entry and material movement within the secured premises added a further layer of coordination, given the facility’s heightened security posture.
How were those challenges resolved?
SI’s team adapted its working methods to comply fully with the no-device policy, relying on pre-planned documentation, physical drawings, and clear on-site briefings to keep installation on track without phones or laptops. For material induction, the team proactively coordinated with site security well in advance of each delivery, planning procurement and logistics schedules around clearance timelines to avoid delays.
To meet the compressed deadline, the team committed to working through weekends, treating them as regular deadline days, and sustained high morale and discipline throughout. The daily Ghatkopar-to-Ulwe commute was managed through structured team scheduling and travel planning to keep the on-site workforce consistent and productive despite the distance. Close coordination with MDL’s site team helped streamline vehicle and material entry procedures over the course of the project. Ultimately, it was the team’s dedication and problem-solving mindset — treating each security and logistical hurdle as a solvable part of the process – that allowed SI to complete the installation to specification within the client’s operational and security constraints.

The completed boardroom gives MDL a secure, professional-grade meeting and video conferencing environment at its Nhava Yard facility, purpose-built for the confidentiality and operational standards required of a defence-sector establishment. With acoustically treated walls, ceiling, and flooring, the room delivers clear audio without external interference or sound leakage, critical for discussions involving sensitive information.
The integrated Crestron-based control system, high-resolution displays, and PeopleLink conferencing equipment give MDL’s leadership a reliable, easy-to-use platform for both internal meetings and video conferencing with external stakeholders, improving communication efficiency across the organisation. By successfully executing the project within MDL’s strict security protocols, without ever compromising confidentiality, EYTE reinforced the client’s confidence in engaging specialised private-sector partners for sensitive, high-security AV integration work. The finished facility is now fully operational and supports MDL’s ongoing operational and administrative needs at the Ulwe site.
